Job Description
The Supply Chain & Fulfillment Coordinator supports procurement, logistics, inventory control, order fulfillment, and administrative operations to ensure efficient production and delivery of premium percussion instruments. The coordinator ensures that operational processes run smoothly by maintaining accurate records, facilitating communication between departments, and supporting supply chain efficiency..

Key Responsibilities

  • Procurement

    • Coordinate sourcing of parts, raw materials, and office supplies in alignment with production schedules

    • Maintain vendor communications regarding purchase orders, delivery timelines, and material availability

    • Monitor supplier performance and escalate issues when necessary

    • Support material substitutions and bill-of-materials updates in coordination with the production team

  • Logistics & Inventory Coordination

    • Coordinate shipping, receiving, and distribution activities to ensure accuracy and efficiency

    • Maintain inventory records, support cycle counting processes, and investigate discrepancies

    • Assist with initiatives to improve inventory accuracy, reduce waste, and optimize space utilization

    • Maintain accurate ERP/MRP data related to inventory levels, lead times, and material consumption

  • Order Fulfillment & Sales Support

    • Process customer orders from entry through invoicing, ensuring accuracy and alignment with requirements

    • Update order status and delivery timelines in ERP/CRM systems for real-time visibility

    • Serve as liaison between Sales and Production regarding order status, product availability, and pricing inquiries

    • Support trade shows and sales events, including coordination of event materials and inventory tracking

  • Administrative & Operational Support

    • Maintain customer and vendor data in CRM and related systems

    • Assist with invoice processing, petty cash tracking, and coordination with Finance

    • Manage incoming calls and inquiries, directing requests appropriately

    • Support office operations including supplies, equipment coordination, and general administrative tasks

Qualifications

  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment

  • High attention to detail in data entry, record-keeping, and order processing

  • Effective written and verbal communication skills across cross-functional teams

  • Collaborative mindset with a customer-service orientation

  • Experience with shipping/receiving, logistics coordination, or inventory control preferred

  • Proficiency in Microsoft Office and experience with ERP, CRM, or inventory systems (e.g., Acumatica) preferred

  • Bachelor or Associate degree in Supply Chain, Business, Operations, or related field preferred; relevant experience may be considered in lieu of a degree
